I/ Overview
1/ As a regional manager, managing multiple stores at once, you would need somewhere to get insights into all locations and make decisions to improve sales operations based on that overview. If a store is doing better than others, there must be some reason behind that, which can be applied to improve sales of the other stores. The same way happens when a store is slowing down in sales, in comparison to others. That is when this report comes to play. 


2/ To access the Location Overview report:

1 - On the Left Menu, click on Omni-channel Reports

2 - Go to POS > Location overview

Alternative Path: Go to Omni-channel Reports > Report Dashboard > All reports > POS reports > Location overview

3/ Report details

On the main page, you can select metrics of the orders you would like to see in the report, based on the information you would like to see, including:

a. Date used:

You can select either Order Created or Order Updated

By Default, the setting would be Order Created

  • Order Created : Show report based on the date order is created

  • Order Updated: Show report based on the date order is last updated

The Order Updated report is created in real time and does not require a refresh

b. Time range

Once the period has been selected, you can set the time range in which you want to see all the orders for. The pre-set ranges are Today (by default), Yesterday, Last 7 days, Last 30 days, This year, Last year, in case you want to have a quick view, yet in case you want to check a specific time range outside the above, i.e a special promotion period (Christmas & New Year), you can select Custom Range and set it From a date To another specific one. 

c. Data fields

  • Orders: Show the number of orders counted from POS with the selected status during the defined period.

  • Tax: Let you know tax amount during the defined time range; which equals tax invoiced minus tax refunded. You can then check the tax total you need to file for. 

  • Discount: All discount amount during the defined time period, with the same formula. By seeing this, you can check if you're giving too much or too less discount, which affects the sales flow. 

  • Refund: The total refund to customers during the selected period. 

Then come more important metrics:

  • Revenue: Calculated based on total invoiced sales, excluding tax, refund and shipping fee. 

  • Average Order Value: Show you the average order amount when a customer walks in and buys. If this is small, then you may find some way to push it higher by discount on bulk purchase/ recommending related products, or change your store display layout, etc. 

  • COGS: Cost of good sold on the order items. This helps to check the base cost of goods on the order, versus the total sales (revenues). Each industry shall have its own benchmark. If this is too high you may have little room for other costs only. 

  • Profit: The most important metric. As a store manager, you must be really concerned about this. This equals total paid minus tax, shipping, refunded, and COGS.

  • Profit Margin: Show you the proportion of Profit/ Revenue. This also depends on the business you're in, but surely not supposed to be too low - as your business must prove its efficiency of capital used.

  • Total: Show the total values of each column

II/ Filter Report Data
To narrow down what is shown in the analytics and the inventory list, you can use the Filter function.

  • Action: When Refund filter is applied, look up locations that have the total refund amount no less than the 'from' value, and no more than the 'to' value

Revenue

  • Action: When COGS filter is applied, look up locations that have the COGS no less than the 'from' value, and no more than the 'to' value

Profit

  • Default Value: Blank (inactive filter)

  • Action: When Profit filter is applied, look up locations that have the profit no less than the 'from' value, and no more than the 'to' value

Potential Profit

  • Pre-condition: Potential Profit column is visible in the data grid

  • Input Format: Decimal number range

  • Default Value: Blank (inactive filter)

  • Action: When Potential Profit filter is applied, look up locations that have the expected profit no less than the 'from' value, and no more than the 'to' value

Location

Dropdown

  • Pre-condition: Locations column is visible in the data grid

  • Input Format: Dropdown value

  • Default Value: Blank (inactive filter)

  • Action: When Locations filter is applied, show only data of the filtered locations

3 – Click on the [Apply Filter] button

The system will re-generate the Report Grid & Summary Data of the locations that match ALL conditions of active filters.

III/ How To Create Custom Visible Column

If you think that some information in the report is unnecessary, you can choose to hide specific columns from the report. 

1 – Click on the [Columns] button 

2 – Untick the fields that you don’t want to show on the report. 

The changes will be applied instantly to the Report Data Grid & Filter Fields without any further action.

You also can drag & drop to change the column's position as you want to customize your own report view.

IV/ How To Export Report Data

To export Location Overview data:

1 – On the Location Overview page, click on the [Export] toggle button 

2 - Click on the [Export] button in the collapsible form

The system will generate a CSV file from the current report view (active filters, visible columns, column position & sort order) and export it for you to download instantly.
