How to Manage Order Fulfillment in 5 Steps

Purpose

After you create the order, you can go to the Fulfillment tab to manage that order shipment according to 5 default steps.

Step 1. Verify order

Go to backend > Fulfillment > Order Fulfillment > Verify Orders tab. This page lists all orders that need to be verified. This verification step allows you to verify, hold, or cancel orders.

Click on the Process Verify button of each order you want to verify, contact customers to double-check all information, then choose Mark as verified button.

After this, the order will be moved to the next step to prepare for fulfillment. Go to the next step by clicking on the Prepare Fulfil tab.

Tips

This step is optional so if it is not useful for your business, you can turn it off by going to Fulfillment > Order Configuration and choose No in Enable Verify Order Step field.

Step 2: Prepare Fulfill

This verification step allows you to separate orders into 2 groups based on inventory availability:

  • The ones that have all items in stock (Request pick from warehouses)

    The ones that lack some of the items (Backorder).

Thus, you know the priority of orders to be fulfilled first. Follow these steps to prepare to fulfill your orders.

  1. Click on Fulfill button of the order you want to prepare fulfillment. A prepare fulfillment request popup will appear.

     Choose the suitable Shipping Channel (Request pick from warehouses or Backorder) and select Add Products to Request button.

    The system will automatically list all products of the order. Tick to choose the product and enter the order quantity. After that, click on Add Selected Product(s) to Request button. In case there are both available and out-of-stock items, choose Add Fulfillment Request to create another request for the order.

  2. Don’t forget to save all your work.

Step 3: Pick items

On the Pick Items dashboard, you can view a picking list and pick all items of these orders easily. Just follow the 3 following steps:

  1. Select the warehouse to pick items

You need to choose the warehouse you are about to work with.

  1. Choose order(s) to pick items

Orders will directly move to this tab. You can view the detail of each order and pick items for it. Choose orders is to scan the pick ID: Click on the Scan Picked Orders button and scan the pick ID to get orders, syntax: PICK+[pick ID] (For example: PICK1, PICK2). After you find the order, products in this order will show with Quantity to pick.

  1. Pick items for each order

You can print Picking List in this step. There are 2 options of Picking List: Group by Pick # or Group by Product. You can pick items for many orders at once by selecting multiple orders when printing the picking list. 

Pick items and scan their barcode to keep Picked Quantity is the same as Quantity To Pick. Although it isn’t recommended, you can manually click on plus buttons or Mark as Picked / Mark Picked All Items to finish picking items for an order. After that, the order will automatically move to the Pack Items step.

Note

You can’t pick partially a picking request. Because items have not been picked will be removed to Prepare Fulfill Step

Step 4: Pack items

In the dashboard of packing items, each order will display items that are ready for packing. Follow these 4 steps to pack items:

  1. Select the warehouse to pack items

You need to choose the warehouse you are assigned to.

  1. Choose order(s) to pack items

After you complete picking items, orders will directly move to this tab. You can view the detail of each order and pack items for it. Another way to choose orders is that scanning the pick ID. After you find the order, it will display the associated pack request.

  1. Recheck item quantity of each order

To ensure correct packing in the right way, you should recheck the item quantity of each order. You can do this quickly by scanning item barcode or manage this step manually by select plus buttons.

  1. Pack items for each order

After recheck items of each order, you need to pack all into the package(s). The system allows creating multiple packages for an order:

Click on the Pack button then choose Add Products to Package. Now you need to select products and enter some additional information. If you want to divide an order into multiple packages, select the Add Package button to pack a new package.

Step 5: Deliver packages

In the last step, all shipped orders will be shown at Delivery packages grid with details, including the following information you can check back any time you want:

  • shipping information

  • tracking number from your shipping carrier

  • items in the packages
